    The Media Resource Reservation and Circulation Suite (MR RaCS) is a software package for circulation inventory management. Designed specifically for organizations that reserve and circulate multimedia equipment, MR RaCS allows large inventories to be managed seamlessly.

    MR RaCS consists of two separate self contained applications:   the Circulation Desk and the Resource Manager. Both applications need to be installed on an IBM compatible running Windows 95, 98 or NT4. They can be used on one machine or served over a network to multiple workstations (allowing reservations and circulation from multiple locations). Data conversion services are available to transfer your existing inventory to the MR RaCS format.

Resource Manager

    The Resource Manager is the main administrative program of the suite. Equipment categories, equipment inventory, customer information, location information, security information, vendor information, and general options are controlled from the Resource Manager. The Resource Manager can maintain information on an institutions entire media inventory.
  • Equipment can be assigned to different levels of circulation – general circulation, special circulation, privileged circulation – as well as be listed in a multitude of different contexts – fixed at location, permanent reserve, in repair, etc.
  • Information stored on equipment: name, type, item #, identification number, location, status, value, cost, custom information, purchase date, serial number, model, brand, vendor, service history.

    Tracking

  • Very powerful set of tracking and reporting search templates:
         * overdue equipment
         * uncompleted tasks
         * equipment location
         * outgoing equipment/event
         * incoming equipment/event
         * equipment circulation record
         * customer circulation record

    Checkout

  • Search for events by event ID, start time, first name, last name, location, event type, etc.
  • Checks made for assuring proper checkout
         * can't check out equipment without reservation
         * can’t check equipment out more than 15 minutes in advance
         * can't check out equipment after checkin time
         * prevents checking out equipment multiple times with the same reservation
         * requires confirmation to checkout equipment to users with existing fines
  • Checkout of equipment not entered into the system inventory will prompt for inventory information.
  • Custom note field for condition of equipment and accessories

    Checkin

  • Modify equipment checkout/checkin status (record equipment damage, missing cables etc)
  • Assess fines for late, damaged or missing equipment, etc.
  • Easy view of reservation notes (used for special instructions)
  • Notification of remaining equipment to be returned by customer
